For these reasons, we have developed a superior implementation process at MBSS. Our multi-step implementation process has proven to be a very effective way of ensuring that your software is properly installed and configured, while adhering to the deadlines your office has set.
Step 1: A Needs Analysis is performed
A Needs Analysis is a method we use to determine your level of medical management software needs. A System Consultant is assigned to conduct a Needs Analysis on your practice, which involves assembling detailed information about your company, and the technology is requires to operate most effectively. With your input, the Consultant will make recommendations about which MBSS products and services would work best for your office.
Step 2: Software purchasing
At this point, we will discuss your software purchasing options, including financing options, if they are applicable. Then we assign a Project Manager to your office, and this individual acts as your primary liaison with our company, answering your questions and assisting you through the rest of the implementation process.
Step 3: Delivering the software
MBSS promises quick delivery of its products. In most cases, your software purchase will arrive within 48 hours of your purchase. This is an important step to us because we want you to be able to benefit from the many advantages of MBSS software as quickly as possible.
Step 4: Installation
Installing your software is one of the most important and exciting steps in our implementation process. It can also be complicated, which is why the Project Manager coordinates all of the installation procedures. With the help of one of our technical support specialists, the software is installed remotely to ensure your office receives the precise requirements needed.
Step 5: Training your office
After the installation process is complete, training schedules will be set up for you and your staff. To be as accommodating as possible, MBSS offers online training that can be performed at a time most appropriate for you or onsite training with the assigned Project Manager. We also encourage new clients to visit our headquarters in Florida where we offer further training. We have outlined our training sessions here.
Step 6: Creating data files
If your office is transferring from one type of medical management software to MBSS software, the data will have to be converted, which constitutes a substantial portion of our implementation process. Data conversion is crucial to your new software system, so this is something that you need to consider upon purchasing the software. Your Project Manager will be able to assist you in deciding which method of data conversion would be best for your office.
Step 7: EDI Set-up and Testing
In order to allow electronic transactions to take place with your new software, your electronic data interchange (EDI) needs to be set up, a process that can slow down the overall implementation process. In order to speed up the process, your Project Manager will facilitate this step. It requires you to submit forms to carriers who will then contact you for registration information.
Step 8: Customization
This step is only applicable to companies that have specifically requested some form of custom programming. Most customization is generally performed during the installation process.
Step 9: Testing your system
Any work completed using your new software, prior to our “go-live” step, is performed in test mode. This is the system we use to ensure that your products are working appropriately. We test all aspects of the program including scheduling, reporting, and payments. We do not want your system failing you once we go live.
Step 10: Go-Live
After the above steps are completed, your system and your staff are ready to go live. The data conversion step created your master data file which is now uploaded into your system. This means that you can now use your software for all of your practice management needs. Depending on how large and complex the set-up is, during this stage the Project Manager may be onsite to provide assistance with the process. If not onsite, their expertise will be available from our headquarters.
Step 11: Supporting your system
A crucial part of MBSS’s philosophy is to support our clients after
the installation, training and go-live processes are complete. That is
why we offer complete support to your system through our Training Help
Desk, our Technical Support line and other resources. With MBSS, our assistance
does not end with installation.
